This Privacy Policy describes how FaunaDoc-AI collects, uses, discloses, and protects information when you use our veterinary practice management software, websites, and related services (collectively, the “Services”). By using the Services, you agree to the practices described in this policy.

2. Information we collect
We may collect the following categories of information:
- Account and practice information: name, email address, phone number, practice name, role, billing details, and credentials you provide when registering or managing your account.
- Clinical and operational data: patient records, client information, appointments, SOAP notes, diagnostics, invoices, and other data you enter or upload while using the Services.
- Communications data: SMS/MMS messages, appointment reminders, intake links, and related metadata (including message content, delivery status, timestamps, and phone numbers) when you use our messaging features.
- Technical and usage data: IP address, browser type, device identifiers, log files, cookies, and analytics about how you interact with the Services.
- Support and correspondence: information you submit through support forms, email, or in-product chat.
3. How we use information
We use collected information to:
- Provide, operate, maintain, and improve the Services;
- Authenticate users and enforce account security;
- Send transactional and service-related communications, including SMS appointment reminders and client notifications you configure;
- Process subscriptions and payments through our payment processors;
- Provide customer support and respond to inquiries;
- Monitor usage, troubleshoot issues, and protect against fraud or abuse;
- Comply with legal obligations and enforce our terms.
4. SMS, text messaging, and communications
When your practice enables SMS or related messaging through FaunaDoc-AI, we process mobile phone numbers, message content, and delivery data solely to deliver the communications you request (such as appointment reminders, intake links, and status updates). Message and data rates may apply. Recipients may opt out of marketing messages where applicable; transactional messages related to care you initiate may still be sent as permitted by law and your settings.
No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. How we share information
We do not sell your personal information. We may share information only in these circumstances:
- Service providers: with vendors who help us host infrastructure, send email/SMS, process payments, provide analytics, or support the Services, under contractual obligations to protect data and use it only for our instructions.
- Within your organization: with authorized users at your practice according to role permissions you configure.
- Legal and safety: when required by law, regulation, legal process, or to protect rights, safety, and security of users and the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to continued protection of personal information.
Except as described above and in the SMS section, we do not share mobile contact information or text messaging opt-in data with third parties for their own marketing purposes.
6. Data retention
We retain information for as long as your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. You may request deletion of certain data subject to applicable law and our data backup and clinical record retention requirements.
7. Security
We implement administrative, technical, and organizational measures designed to protect information against unauthorized access, loss, or alteration. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, or restrict processing of your personal information, and to object to certain processing. To exercise these rights, contact support@mail.faunadoc-ai.org. We will verify requests as required by law.
You may update account details in your practice settings. For SMS, recipients can typically reply STOP to opt out of promotional texts; service-related messages may continue where permitted.
9. Cookies and similar technologies
We use cookies and similar technologies for authentication, preferences, security, and analytics. You can control cookies through your browser settings; disabling cookies may limit some features.
10. Children’s privacy
The Services are intended for use by veterinary professionals and are not directed to children under 13. We do not knowingly collect personal information from children under 13.
11. International users
If you access the Services from outside the United States, your information may be processed in the United States or other countries where we or our service providers operate, which may have different data protection laws than your jurisdiction.
12. California privacy rights
California residents may have additional rights under the CCPA/CPRA, including the right to know, delete, and correct personal information, and to opt out of certain sharing.
